MANAGING AN UNMANAGED FLEET

Wellington College's approach to the development of its printer fleet had been pragmatic: devices were purchased as each faculty or department needed them. While practical and simple, this approach left the College with a large and unmanageable fleet. ITQ's audit identified over 200 printers and copiers from a variety of manufacturers. Using comparative data from other independent colleges it supported, the company was able to demonstrate that the College's cost - per - pupil was disproportionately high.

PROTECTING INVESTMENTS & WORKING PRACTIC ES

The College presented an unusual challenge to ITQ. With a large proportion of its fleet under two years old, it did not want to waste its investment by replacing all its equipment. Furthermore, it did not want an out - sourced MPS contract. Its goal was to gain internal control and understanding of the way its printers were used. Better understanding would inform future decisions about the printers and multifunctionals it needed.

BETTER INFORMATION FOR BETTER MANAGEMENT

ITQ provides the information the College needs through a print management system. Staff collect documents using their ID cards, students with their ID numbers. Usage can be analysed and the fleet can be configured to match user demand and financial goals. Print management delivered rapid results. ITQ demonstrated how costs could be reduced by shifting much of the workload to its more economical Kyocera multifunctionals. 130 desktop printers with high - running costs were gradually phased out in favour of 30 Kyocera devices for colour and mono printing. By not printing unwanted documents, 133 trees were saved in the first year.

BRINGING PRINT FACILITIES TO BYOD

With a strong commitment to BYOD (Bring Your Own Device), most of the College's students have smartphones and tablets. Up to 3,000 devices connect wirelessly to the College's network. ITQ's wireless printing solution added mobile print facilities to these devices, allowing students and staff to print from any wireless device to any printer, in colour or mono. The bottlenecks that had plagued boarding house printers were eradicated by allowing printing to classrooms and other less busy areas.

IMPROVING DOCUMENT PROCESSES

By customising the high - speed colour scanning facilities offered by the College's Kyocera multifunctionals, the process of scanning and emailing documents between staff has become effortless. This has improved document - based processes such as invoice approval and will allow the scanning of academic papers into the College's databases.
